The color coding scheme that works for your calendar!

Are you like me whose calendar is filled to its full potential? Does seeing a pile of all your appointments, To-Do’s, meetings, conferences, personal errands, etc. make your brain shutdown? I’ve been using a technique that allows me to seamlessly go through my calendar and know what events will take place just by simply looking at the colors of my calendar. Yes, I’ve found a method so I won’t have to waste my precious time and know which times are critical or not so I will always plot the right schedules at the right time. And you’re lucky because I’m sharing that with you today. J
 
Psychologists agree that color has a significant effect on our mood. In fact, there are certain colors which can soften or intensify your mood. Therefore, choosing the colors you see on your calendar do not only give you a bird’s eye view of how your whole day will go, it can also significantly impact the way you do the tasks written there. Say, if you want serenity, choose the color Green or Pink as it these are best known for its therapeutic and stress-relieving effects for events you would do almost every single day. This will dominate your whole calendar color scheme, hopefully giving you a better and calming mood. So, if you plan to be a happy camper when you view your calendar on a Monday morning, then you better be ready to be amazed.
 
This method works if you’re using Outlook 2010’s Calendar in plotting your events. It may also work for other Outlook versions but there may be some slight variation in instructions. The instructions below have been taken from this link.

  1. Open your Outlook Calendar
  2. Click the “View” then the “View Settings” button under Current View
  3. Click the “Conditional Formatting” button
  4. Click the “Add” button to construct your own color-scheme theme.
  5. Enter the name of the rule in the “Name:” text box
  6. Select a color in the “Color:” drop down list box
  7. Click the “Condition…” button to identify the conditions under which this color should be applied
  8. Select the “Appointments and Meetings” tab and enter a keyword into the “Search for the word(s):” text box to look for a word in the Subject field
  9. Select the “Advanced” tab, select the “Field” drop down list box, select “Frequently-used fields” and “Location” and enter a keyword into the “Value” field to search for content in the “Location” field in the appointment.
  10. Click OK, OK, OK to apply your new formatting rule. 
    Rules are applied immediately, and if they worked, you should see your appointments light up with color.
